Airbnb payout reconciliation: Two bookings and an adjustment
Airbnb payout reconciliation means matching a bank deposit to the reservations, host fees and adjustments included in the platform payout. In this fictional example, $1,700 in reservation subtotals minus $250 in host fees and a $50 adjustment equals the $1,400 deposit.
Illustration only. All names, dates, identifiers and amounts are invented. This example uses one host, one USD payout destination and no currency conversion, co-host split, taxes, withholding or separate bank/provider charges. The fee amounts are example inputs, not an Airbnb fee-rate assumption.
A $1,400 Airbnb bank deposit does not necessarily correspond to one $1,400 booking. To understand it, identify the payout, find the transactions included in it, and connect each component to its supporting record.
Airbnb says earnings from multiple listings with reservations starting on the same day may be paid together. Its Paid transaction details can include reservation information and adjustments. That makes the payout detail, rather than the bank description alone, a useful starting point. (Airbnb: Find your earnings; source 1.)
The fictional records
In this example, one host receives USD payments into one bank account. The two newly paid reservations both start on September 30, 2026:
- Cedar Cottage, reservation DEMO-BOOK-101: $900 accommodation plus a $100 cleaning charge, for a $1,000 reservation subtotal before the host fee shown here.
- Maple Loft, reservation DEMO-BOOK-102: $630 accommodation plus a $70 cleaning charge, for a $700 reservation subtotal before the host fee shown here.
- A separate $50 negative adjustment, DEMO-ADJ-003, relates to an earlier Cedar Cottage reservation, DEMO-PRIOR-009. The fictional supporting detail links this adjustment to that earlier reservation, and confirms that the full $50 is deducted from this payout.
Airbnb describes adjustments arising from events such as a reservation change or cancellation and says they are deducted from the next scheduled payout or payouts. The example assumes the supporting adjustment record has been retrieved; a bank difference alone would not establish its existence or cause. (Airbnb: What an adjustment on your earnings means; source 2.)
The fictional payout detail explicitly groups these three components under DEMO-PAYOUT-004, sent October 1, 2026. The bank shows a $1,400 deposit, DEMO-BANK-005, posted October 6, 2026.
The fee amounts below are invented inputs supplied by this example. They do not establish an Airbnb fee rate or predict the fee for another reservation. “Reservation subtotal” is a label for this worksheet; it is not the total paid by a guest or a claim about the exact headings in an Airbnb export.
From two bookings to one bank deposit
Cedar Cottage
Booking
- Reservation subtotal
- $1,000.00
- Less host fee
- -$145.00
- Toward this payout
- $855.00
Reference: DEMO-BOOK-101
Maple Loft
Booking
- Reservation subtotal
- $700.00
- Less host fee
- -$105.00
- Toward this payout
- $595.00
Reference: DEMO-BOOK-102
Earlier Cedar Cottage adjustment
DEMO-ADJ-003, linked to reservation DEMO-PRIOR-009
-$50.00
Calculated payout
$1,400.00
How it adds up$855.00 + $595.00 – $50.00
= $1,400.00
- Bank deposit
- $1,400.00
- Unexplained difference
- $0.00
Cross-check: $1,700.00 in reservation subtotals – $250.00 in host fees – the $50.00 adjustment = $1,400.00.
For this payout worksheet, Cedar Cottage contributes $805.00 after its supported prior-reservation adjustment, and Maple Loft contributes $595.00. Those amounts describe this payout's components. They are not a calculation of either property's profit or revenue for an accounting period.
Keep the dates separate
The September 30 reservation starts, October 1 payout-sent date and October 6 bank-posted date describe different events. The dates in this example are assumed observations, not a promised payout schedule. Airbnb notes that processing time after release depends on payment method and region. (Airbnb: When you'll get your payout; source 3.)
Keep all three dates with the reconciliation. A date difference alone does not demonstrate missing money. These dates also do not, by themselves, determine when revenue should be recognized or which tax period applies.
How do you reconcile an Airbnb payout?
- Start with the bank deposit's amount, currency and posted date. Retain its reference, with account details protected.
- Find the candidate paid payout and retain its payout identifier, sent date, amount and destination. Use its detail to establish which transactions belong to it. A matching amount is a clue, not sufficient proof on its own.
- Obtain the reservation and adjustment records needed to explain each component. Airbnb offers earnings reports and CSV exports with fields such as host service fees, cleaning fees, gross earnings and taxes withheld; inspect the fields actually present in your report. (Airbnb: Download your earnings; source 4.)
- Recalculate the components and compare the result with both the platform payout total and the bank deposit. Record any difference separately.
- Check what is already in the bookkeeping system before recording or matching anything. This worksheet is evidence for that decision; it is not a journal-entry template.
Do not add the $1,400 payout-summary amount to the $1,400 component total. They are two views of the same cash movement. Likewise, the cleaning charges are already inside the $1,000 and $700 subtotals in this example; adding them again would overstate the components by $170.
If it does not match, investigate the difference
If the bank instead showed $1,390, the unresolved difference would be $10. That does not establish a $10 fee. Check the payout destination and currency, the transaction membership, any separately documented deduction, and whether the bank line really belongs to this payout. Obtain evidence for the difference before deciding how to record it.
If the adjustment detail were missing, the two supported booking contributions would total $1,450, leaving an unexplained $50 difference against the $1,400 deposit. Do not create a fictional $50 adjustment to make the worksheet balance. Leave the difference unresolved and retrieve the underlying record.
If a released payout has not arrived, Airbnb says the payout ID can help your bank or payment provider locate the funds. (Airbnb: Find your earnings; source 1.)
Assumptions, limits and reader questions
This example assumes USD throughout, one host entity, one payout destination, no currency conversion, no co-host split, and no separate bank or payout-provider charge. Taxes and withholding are excluded from the invented amounts; that is not a claim that a real reservation has none. No amount has already been reconciled elsewhere. The platform detail, adjustment detail and bank record are assumed to support the stated membership and amounts.
Before using the approach on actual records, answer:
- Which payout does the bank deposit belong to, and what evidence links them?
- Which reservations and adjustments does that payout actually include?
- Does each adjustment identify its original reservation, listing and amount applied here? Could part have been deducted in another payout?
- Are the currency, destination and date window consistent? Are any tax, withholding, conversion, routing or payout-provider components missing?
- What has already been recorded, and could a booking, fee, adjustment or deposit be counted twice?
The example does not establish the host's accounting basis, legal ownership structure, chart of accounts, local tax obligations, gross-versus-net presentation, treatment of cleaning charges or fees, or classification of a refund or adjustment. Those facts are not available. It also does not establish whether a real account uses identical export fields or payout routing. No Vrbo behavior is inferred from Airbnb documentation.
