How to Compare Bookkeeping Quotes for Your Real Estate Portfolio
Investor bookkeeping guide

Compare the work behind each quote before comparing the monthly price. Use the same portfolio details, confirm what each bookkeeping firm will deliver, and separate monthly bookkeeping from historical cleanup. Then compare what you will pay and what you will still need to do.

Give each bookkeeping firm the same starting point
List your rentals and flips, the businesses that own them, your bank and credit card accounts, and any property managers. Explain how current your books are and which reports you need. A quote based on clean, current books is not directly comparable to one that includes months of unfinished work.
Share documents through the bookkeeping firm’s authorized process. Do not put passwords, account numbers or private tenant information in the comparison worksheet.
Compare four parts of the service
Use the same portfolio details to compare what each proposal covers.

Unclear? Ask before choosing.
Monthly work
Ask whether the fee includes categorizing transactions, reconciling bank and credit card accounts, and reviewing the books before reports are delivered. For real estate, also clarify how the bookkeeping firm handles property manager statements, loans, refinances and closing documents. A general label such as monthly bookkeeping does not answer these questions.
Financial reports
Confirm whether you will receive a profit and loss report by property and business, a business balance sheet, and any detailed rehab tracking you need. Ask for a sample with client information removed. Can you see each property’s income and expenses, or only a combined total? Property reports should help you understand which properties are performing well and which need a closer look. Ask what is reviewed for accuracy before delivery. Confirm when reports arrive and which documents or answers you must provide to keep that schedule.
Your responsibilities
Find out which sources the bookkeeping firm can access with your authorization and what you must send each month. Ask how unresolved questions are collected. A combined request list can make your role clearer, but some transactions will still need your explanation or missing documents. For rental owners, our monthly bookkeeping checklist explains the documents and questions that support the monthly close.
Cleanup and other charges
Keep historical cleanup separate from the recurring monthly fee. Confirm the period covered, the quoted cost and any conditions. Ask about software, onboarding, excluded services and how the fee changes as you add properties or activity. Do not treat an omitted item as free or included.
Turn unclear scope into a clear decision
In this hypothetical comparison, two proposals both say monthly bookkeeping. One explicitly lists reconciliation and property reports; the other does not. That does not prove the second bookkeeping firm excludes them. Ask for written clarification before deciding that one quote offers more value.
Use the worksheet to mark each item as included, extra, excluded or unconfirmed. Resolve the items that matter to your portfolio. Compare confirmed ongoing costs separately from the cost of getting started. Then choose the service whose responsibilities, reporting and real estate experience fit your needs. Our guide to choosing a real estate bookkeeper covers questions about specialist experience.
Put two proposals side by side
Record the work included, the reports you receive, your responsibilities and separate starting costs. Leave unclear items unconfirmed until the bookkeeping firm answers.
